We can keep track of expectations and due dates here for 2024. Year-to-year patterns are similar.
- January
- Final report and invoice due to Hacks/Hackers on ARTT Guide project, phase II. (done)
- North American Hub research report due to public and WMF MSIG grantors. Peter and Ariel have started. Not time-sensitive
- WCNA reporting, for 2023, not always our chapter's responsibility. meta:Talk:WikiConference_North_America
- February
- Help file WCNA grant submission, due Feb 6 2024
- Feb 15? Tax forms 990-EZ due to IRS, approx four months after end of our fiscal year
- Due to WMF AffCom on Feb 28: Annual activities report and Annual financial report. Write them on our own chapter wiki, then a chapter officer should submit them to AffCom here. Our past ones have always been seen as acceptable. See meta:Wikimedia_Affiliates_Data_Portal/Reports for their record-keeping and what other affiliates are reporting. Submission instructions are here, on video: meta:Wikimedia Affiliates Data Portal. Exact due date is listed here: meta:Wikimedia_Affiliates_Data_Portal/Organizations_Information
- March
- Biennial report to DC due in Feb/March of even-numbered years. 2024 is done. Orgs like WikiDC ("domestic filing entities") should file reports every two years from the year of the last report filed. After April 1 or thereabout some late fee will be added. It's not difficult and doesn't require preparation, at least for Peter to Just Do It. To do: Log in to Access DC. Report Year=current calendar year. Org address is the PO box which is de facto accepted. Organization's Registered Agent: It says Incorp; just leave unchanged; Incorp seems to have the address 1100 H STREET, N.W., SUITE 840, DC 20005. Organization's Activities: No need to change previous statement of our activities. Organization's Beneficial Owners -- maybe just Peter but it seems fine to list all board members too. (t seems to want all our board members as "beneficial owners". For simplicity we are listing our six long-lasting board members, not every board member.). $80, every two years
- At the same time try to update our Trade Names on the same site which include Wikimedia DC and Wikimedia District of Columbia. These seem to expire quickly, and registration is not clearly necessary. . . but let's play ball occasionally when we have money in the bank. $55, perhaps for each name. Peter did Wikimedia DC alone for 2024. Our account is still called kirill.lokshin but Peter tried to update name and address
- April
- Berlin summit of WMF affiliates. John, Kevin P, and Peter are going. Requires some preparation, not coordination necessarily
- Summer
- Strategic planning effort, expected to involve in-person meetings in DC.
- Prizes due to Wiki Science Competition winners?
- August
- Wikimania; In Katowice, Poland, for 2024. (pronounced like Katovitz)
- Late September
- File for multi-year grant from WMF to fund routine operations; this timing starts in 2024 for the 2025 funding year
- Reporting on our big annual grant back to WMF. Sara knows the responsibilities. We should report for all on strategic planning efforts. (When due? Around Jan 2025 probably, after the Dec 2024 grant end)
- Finish: Internal:Summary briefs addressing general issues in fulfillment of 2023-2024 WMF grant metrics
- October
- Review who will be eligible to vote in our election ; sent gentle reminders to folks who might want to renew membership, but haven't; this is our ideal time of year to encourage members to join too
- Board should pass draft budget for fiscal 2024-25 to offer to members on ballot
- prep for WCNA (Oct 3-6 2024; usually in November, most years)
- November
- Line up candidates for our ballot and set it up online, and try some small scale practice votes
- Balloting period begins
- WCNA is usually this month
- December
- Board election concludes; election report
- Annual membership meeting
